1. Admins

Admin roles are the super-users of Volopay. They are accountable for managing business-level considerations for your company's Volopay account. As a result, Admins have access to Volopay's full capabilities and controls, and are responsible for:

  1. Set-Up: Setting up company-wide controls for Volopay, which includes managing account balances, setting up auto-flag rules, inviting new team members, applying monitoring controls on the business spends, and more.

  2. Card & User Management: Inviting new team members to be Volopay users, setting limits controls, monitoring balances and transactions.

  3. Accounting: Customizing Volopay to match the company's existing accounting structure, integrating accounting software with Volopay, viewing statement history.

While there are no restrictions on the number of Admins you can invite to your company, we recommend proceeding with care. With great power, comes great responsibility.

Admins can define how your business uses Volopay and can invite users, issue cards, set budget limits, create accounting rules, and modify company settings.

2. External Accountants

External accountants have access to your company's Volopay accounting in a secure fashion. By inviting external accountant , you enable these users to access you accounting data and make changes to your company accounting. External accountants assigned to your Volopay account will populate in your People tab with the "external accountant" label.

Accountants are provided with access to activity data to facilitate your accounting processes.

3. Members

Members are all other company employees who can make purchases through their individual Volopay cards. Each member can be issued physical or virtual cards, or request cards. They also gains access to their individual Volopay dashboard, where they can view their cards, associated monthly limits and current balance. Members can text or email receipts and memos to Volopay which are automatically matched to the right transaction.

Members can request or receive a virtual/physical card, and they are responsible solely for their own expenses and reimbursements
