Overview

Blocking or freezing a virtual card involves temporarily or permanently restricting its use to enhance security and control. When a card is frozen, transactions are automatically declined, but the card can be un-frozen at any time if needed. Blocking a card, on the other hand, is a more permanent action that prevents any future transactions and cannot be reversed. Both actions help protect against unauthorized use or fraud, while still allowing visibility into the card's activity and transaction history.


Freezing cards

Freezing cards provides enhanced security and control. Any transactions attempted on a frozen card will be automatically declined. You can unfreeze the card at any time.

As a Cardholder

To Freeze your Volopay virtual card:

  1. Log in to My Volopay.

  2. Select the virtual card you wish to Freeze.

  3. Click on the "Freeze" button at the top of the card slider.

  4. To unfreeze the card, simply repeat these steps and click "Unfreeze" instead.

Unfreeze the card at anytime by following the same navigation steps and clicking Unfreeze.


As an Admin or Card Manager

Admins and Card Managers can freeze cards assigned to other users by following these steps:

  1. Navigate to the Cards Module and select either the "Virtual Card" or "People" section.

  2. Search for the card or user whose card(s) you wish to freeze.

  3. Click on the "Freeze" button at the top of the card slider.

To unfreeze the card, simply repeat the same steps and click "Unfreeze" instead.

Note: If a card is frozen by an Admin or Manager, only they or someone with a higher role can unfreeze it.


Blocking cards

Once a card is blocked, it will be declined for any attempted transactions. However, refunds will still be processed. You can view the blocked card and its activity by navigating to the "Blocked" section on the virtual card page. All previous transactions on the card will remain accessible in the transaction history.

Virtual cards can be blocked, and this action is permanent. To block a virtual card, follow these steps:

  1. Select the virtual card you wish to block.

  2. First, freeze the card to activate the block option.

  3. Click on the "Block" button at the top of the card slider.

Note: Once the card is blocked, it cannot be unblocked.
