Overview

Our Global Corporate Physical Cards are accepted worldwide, Enabling seamless online and offline payments, regardless of where business activities take place. With a near-zero failure rate for transactions, including payments to major platforms such as Meta, Google, and LinkedIn, users can rely on these cards to keep their business operations running smoothly without disruptions. Operating on a user-funded model, these cards provide complete control over spending; users can top up the card as needed, allowing for flexible and precise management of funds in accordance with business requirements.

Note : ATM withdrawals are not supported, but the cards function on POS Machines both in India and Internationally.


Global Cards Wallet:

To transfer funds to the cards, users must first top up their virtual account. They can then transfer the funds from the virtual account to their Global wallet.

  • Each client will have a dedicated Global Cards Wallet within the Volopay platform. Funds can be allocated to this wallet from the client's INR account.

  • All top-ups for Global Cards will be managed through this wallet, ensuring seamless international transactions.

  • Please note that once funds are allocated to the Global Cards Wallet, they cannot be transferred back to the INR account, providing a secure and dedicated balance for international expenses.



Order Global Physical Cards through Volopay:

  • Ordering Global Cards through Volopay is simple and efficient. Once a card order request is approved by the admin of the company, users will receive an email with instructions to prepare necessary documents, such as self-attested copies of PAN and AADHAR cards.

  • The ICICI card order form will be provided by an ICICI relationship manager, who will assist in filling it out accurately.

  • Post submission of ICICI card order form, there is a tentative TAT of 7-14 business days for the delivery of the Volopay Global Physical Card.

  • Users can order cards in bulk for multiple employees within their organization by selecting more than one user in the Volopay platform. The email with detailed instructions will be sent to the respective email addresses associated with each user.

Card Activation:

  • The cards can be activated directly through the Volopay platform. Navigate to My Volopay -> Physical Cards -> Yet to Activate to begin the activation process.

  • During activation, users will be required to enter the 16-digit card number and the activation number provided on the card.

  • Upon activation, the card will be linked to the user's department with a default spending limit of 0 INR. Users can then manage their card limits and usage directly from the Volopay dashboard.



    Card Management:

  • Accessible from Volopay: All management actions are initiated from within Volopay, offering a streamlined and integrated experience while ensuring that the actual control is maintained through the ICICI portal.

  • Comprehensive Management: Card management, including controls such as freezing, blocking, editing transaction amount limits, and changing PINs, is done seamlessly through the ICICI portal.

How To Freeze or Block a ICIC Card :

Steps to Freeze or Block your Card :

1. To freeze or block a card assigned to one of your cardholders, go to the 'Manage Card' section for that specific cardholder.

2. On this screen, you can freeze the card by toggling the 'Temporary Block' switch.

3. Keep in mind that this action can be undone at any time—just turn off the same switch to unfreeze the card.

4. For a permanent block, you can report the card as either 'Stolen' or 'Lost'.

Note : This is a permanent action and cannot be undone. Once the card has been reported as lost or stolen, you will not be able to unblock it.

How to generate a New Pin :

  1. Navigate to the left-hand side of the screen and scroll down until you find the "Generate Pin" option.

  2. Click on "Generate Pin" and you will be prompted to enter a six-digit pin of your choice.

  3. Re-enter the same pin in the 'Confirm Card Pin' field.

  4. Submit the pin and you will be asked to enter an OTP.

  5. After entering the OTP, your new card pin will be generated. This pin will secure your card transactions.


  • Integrated Guidance: The Volopay platform provides detailed instructions on how to manage your card through the ICICI portal, ensuring a smooth experience. Additionally, a sample video is attached within Volopay to guide users step-by-step through the process.

Steps :

  1. Navigate to the left-hand side of the screen to access the card controls section.

  2. Here, you can manage both domestic and international transaction settings.

  3. Expand the domestic transactions section to toggle controls on or off as needed.

  4. To apply the same controls to international transactions, select the corresponding option and adjust your preferences.

Description

Increasing the Limit

Card limits can be increased directly through Volopay. Users can initiate a request to increase the card limit by entering the desired amount and providing a reason for the increase.

Source of Funds

The additional funds are deducted from the Global Cards Wallet and allocated to the card for increasing the limit

Approval Process

Once the request is submitted, it goes through the appropriate approval process before the limit is increased. The updated limit is then reflected in both the Global Cards Wallet and the card's available balance.


Expense Tracking

  • Post-Expense Tracking: Expenses made using the Global Physical Cards will appear on the Volopay dashboard after a T+2 day period (Transaction Date + 2 business day).

  • Full Integration with Volopay Features: All standard Volopay features, including Approval Policy, Submission Policy, Needs Review, Expense Flagging, and Accounting integration, are fully applicable to these expenses. This ensures that all expenses are tracked, reviewed, and managed with the same rigor and controls as other financial activities within the platform.


Accounting for Global Card account

  • When a client connects their global card account to accounting software, a separate account called "Volobank-Global Card" will be created.

  • All transactions made using the "Global Card" are synced to this account.

    Current accounting software supported:

  • Xero

  • ZohoBooks

  • Netsuite


NOTE - Card spends from Global Physical cards cannot be budgeted for, so the option for creating budget for cards in departments and projects is only available for Domestic cards spends (Pinelabs and Livquick).
