Project budgets are pivotal in managing financial resources for specific initiatives within an organization. They are designed to provide a financial framework that outlines expected costs and revenues associated with a project. Effective budgeting ensures that projects are financially feasible and resources are allocated appropriately, enabling project managers to track expenses and stay within financial limits.


Steps to Define a Project Budget:

  1. Budget Allocation: Navigate to the budget page > open the budget slider > edit budget and allocate a specific amount to the project's spends. This figure represents the maximum amount that the project should ideally spend over a set period.

  2. Refresh Frequency: Decide how often the budget should be updated or reviewed. This could be on a monthly, quarterly, or annual basis. Regular updates can help adapt to changes in project scope or financial conditions.

  3. Budget Flexibility:

    • Flexible Budget: This option allows for continued expenditure beyond the initial allocation under certain conditions, which can be crucial for projects where costs are difficult to predict and may vary.

    • Non-Flexible Budget: This approach restricts spending strictly within the predefined budget limit. Once this limit is reached, no further expenditures are approved unless the budget is revised. This is suitable for projects with well-defined and stable cost structures.

  4. Budgeted for: Specify which spend types the project budget covers. This could include cards expenses, reimbursements, bill payments.

  5. Implementation: After setting all parameters, click "Submit" to save and implement the budget.
