Overview

Volopay accounting basically encompasses 3 important components: Ledger, Integrations and Transactions. The Accounting feature will be only accessible to Admins, Accountants and user's who have been given permission via custom roles on the Volopay Platform.

Ledger

The ledger encompasses all financial accounts, divided into Credit, Cards, and Bill Pay (USD, AUD) sections, documenting all transactions. The Credit Tab records expenses using the Credit Line, showing opening and closing balances per transaction. Users can filter transactions and download details in PDF or Excel formats, with CSV downloads providing receipt links.

Integration with accounting software

The integrations tab will help you sync your expenses from Volopay to your Accounting Software.

Xero Integration

Xero is a cloud-based accounting software platform that helps businesses maintain their accounts and do bookkeeping. The seamless integration of Volopay account with Xero ensures that all business expenses sit into the Xero account with just a few clicks. This saves from tons of manual work piling up over the month-end

Transactions

The transactions tab consists of all Volopay transactions which include card expenses, bill pay and others.

The cards tab includes all card expenses. The accounting process majorly goes through three different stages (Review pending, Pending to verify, Pending to sync and final stage is Synced).

How to sync a transaction?

Start by selecting the type of transaction to sync from the accounting section.

Step 1: Hover over the accounting section and choose the desired transaction type.

Step 2: Navigate to the pending section to see transactions with "Pending to verify" status and waiting for sync.

Step 3: Before verifying a transaction, ensure the necessary accounting fields are added in the transaction details, which will be synced into the accounting software.

Step 4: Use the "verify" button on the table to verify a transaction, which you would like to sync. Once a transaction is verified it's status will change to "Pending to sync".

Remember, only verified transactions can be synced into the accounting software.

Step 5: Once a transaction has been verified the sync button will get enabled, and you can subsequently sync the transaction into your accounting software.

That's it! Now you're syncing transactions into your accounting software with ease.
